Key Responsibilities
- Executive Operations & Business Management
• Manage CEO’s inbox – sort, organize, and respond to emails on behalf of the CEO.
• Follow up with employees, clients, and stakeholders under the CEO’s name to ensure tasks are completed.
• Review team KPIs and deliverables, ensuring employees are meeting performance expectations.
• Act as an extension of the CEO – attending key meetings, summarizing decisions, and ensuring follow-through.
• Serve as a Chief of Staff, overseeing strategic initiatives and ensuring alignment across teams.
• Optimize workflows and processes to increase efficiency across departments.
• Conduct research and provide insights on business trends, competitors, and new opportunities.
- People & Team Coordination
• Monitor employee performance and task completion, keeping the CEO informed.
• Hold team members accountable for their deliverables through structured follow-ups.
• Assist in hiring and onboarding by reviewing candidates, setting up interviews, and refining hiring processes.
• Facilitate internal communication to ensure seamless collaboration across teams.
• Improve team productivity by implementing systems for better tracking and reporting.
- Personal Assistance & CEO Lifestyle Management
• Manage and optimize the CEO’s calendar, ensuring time is spent effectively.
• Coordinate business and personal travel, including flights, accommodations, and itineraries.
• Schedule and manage personal commitments, from high-level networking events to personal errands.
• Book appointments and handle reservations for personal and professional engagements.
• Ensure a work-life balance by proactively planning and adjusting the CEO’s schedule.
- Special Projects & Strategic Execution
• Oversee high-priority projects and ensure timely execution.
• Act as a bridge between the CEO and external stakeholders, maintaining strong relationships.
• Handle confidential and sensitive information with discretion and professionalism.
• Anticipate business needs and proactively solve problems before they arise.What We’re Looking For
• Proven experience as a Chief of Staff, Executive Assistant, Operations Manager, or similar role.
• Exceptional communication and writing skills – you should be able to write and respond as if you were the CEO.
• Highly organized and detail-oriented, with the ability to prioritize effectively.
• Strong analytical skills – ability to review data, spot inefficiencies, and drive improvements.
• Experience managing teams and holding people accountable to KPIs.
• Tech-savvy, with experience using productivity tools (Notion, Slack, Google Suite, project management tools, etc.).
• Ability to work under pressure and in a fast-paced environment, anticipating problems before they arise.
• Discretion and professionalism, especially when handling confidential matters.
• Bonus: Experience in operations, consulting, or scaling a startup.
